agent FF&E Specification

FF&E Designer

Takes product selections — from research, spreadsheets, or rep data — and formats them into structured FF&E schedules, including quality review, room packaging, and dealer-ready export.

When to invoke

Use when selected products need to become a proper schedule, an existing schedule needs QA before going to the client, or the schedule needs to be exported for a dealer.

Scope

Accepts: Product selections, rep CSVs, PDF price books, or notes · Existing schedule for QA review · Anchor products for room pairing suggestions · Schedule for dealer export (SIF format)

Produces: Structured FF&E schedule with standardized data · QA report (blocking issues, warnings, completeness by room type) · Room compositions with quantities · Dealer-ready SIF export with processed images

Hands off to: Product & Materials Researcher for researching new products · Sustainability Specialist for environmental evaluation

Architecture

How it works

The FF&E Designer takes product data in whatever form it arrives — curated selections, a messy rep CSV, a PDF price book, or a pile of notes — and produces a clean, structured schedule ready for client delivery or dealer procurement. The agent’s core function is normalization and quality assurance: standardize casing, dimensions, and units; deduplicate; fill in missing categories; and run the full QA checklist before anything goes out the door.

Quality review is built into every path. Blocking issues — missing product names, missing dimensions, duplicate SKUs with conflicting specs — must be resolved. Warnings are flagged: missing pricing, missing lead times, inconsistent units. Completeness is checked by room type: workstations need desk, chair, task light, monitor arm, and power; conference rooms need table, chairs, AV, and power. Budget math is verified — extended prices calculated, outliers flagged, grand total presented.

For room composition, the agent can suggest pairings around anchor products and organize the schedule by area with quantities. For procurement, it processes product images and converts the schedule to dealer format. The FF&E Designer is the last stop before a schedule reaches a client or a dealer system — it doesn’t research new products (that’s the Product & Materials Researcher) or evaluate environmental performance (that’s the Sustainability Specialist). It organizes, verifies, and delivers.
